Classic Outlook for Windows

File → Options → Mail → Signatures → New, name it, paste into Edit signature → OK. If the photo does not show, insert it with the Picture button in the editor.

Apple Mail on Mac

Tips for a professional email signature

  • Keep it short: name, title, company, one phone number and a website are enough.
  • Your photo or logo must be a public image link and small (under 100 KB). Recipients cannot see images stored on your computer.
  • Write phone numbers in international format (+1 415 555 0134) if you email people abroad, so they can tap to call.
  • Use the same template and colours across your team so every outgoing email looks consistent.

Need a handwritten signature for documents? Use the signature maker. Photo too large? Shrink it with the image compressor before uploading it.

Frequently asked questions

Why does my photo not show in Gmail?

+

Gmail only shows images from a public link. Use an image hosted on your website or another service that allows public viewing, starting with https. Files on your computer and regular Google Drive links do not work.

Will the signature look right on phones?

+

Yes. It uses tables and fonts every device has, such as Arial, Verdana and Georgia, so it displays correctly in Gmail, Outlook and Apple Mail on phones. Phone numbers and email addresses are tappable.

Is the information I enter saved?

+

No. The signature is created in your browser and the page does not store what you type. Copy it or download the .html file before you close the page.

What is the .html file for?

+

It holds your signature for classic Outlook, Thunderbird or email marketing tools that accept HTML code. For Gmail and Outlook on the web, just click Copy signature and paste.

Is this email signature generator free?

+

Yes. There is no sign-up, no watermark and no branding added to your signature.
